CAN Official Satellite Meeting Organizer – Helpful reminders and Tips
Satellite symposia events are independently organized by community members and complement the main Canadian Neuroscience Meeting by providing opportunities for groups to meet before or after the main CAN meeting.
Whether you are a seasoned meeting organizer or this is the first time you organize an event, we invite you to read the following document carefully for helpful information to ensure your event’s success.
Official CAN Satellite status
If you want your event to be recognized as an official CAN satellite, please make sure to apply via the online form below.
The Canadian Association for Neuroscience provides the following services to satellite meeting organizers for a fee of $500 CAD + taxes.
- Posting of information about satellite events on the CAN meeting website
- Promotion of satellite event to the community as part of regular e-blasts
- Inclusion in the CAN meeting program
- Inclusion in the CAN meeting program-at-a-glance
- Possibility of renting a limited number of rooms at the meeting headquarters or of hosting event offsite.
After the deadline, we will review all applications to ensure they are eligible for official satellite status. All submissions will be reviewed by our meeting organizers and the scientific program committee.
All symposia and pre-conference satellites/workshops should include women, under represented minorities and/or early career scientists. A strong justification is required for proposals in which participant diversity is not included. Furthermore, attempts should be made to ensure that the participants in symposia and pre-conference satellites be from multiple institutions, so the meeting attendees get the benefit of cross-institutional collaboration.

As independent organizers, it is the responsibility of the satellite meeting organizers to ensure all attendees of their event act in accordance with this value statement.
Room rental at the CAN Meeting venue
As the number of rooms available for rental at the official CAN venue is limited, they will be attributed on a first-come, first-served basis.
The cost for room rental at the CAN Meeting venue is $1000 CAD, with theatre-style sitting. Basic AV (Projector, microphone) is included in this price. Note that this rental rate is approximately 50% of the actual rental costs at the meeting venue and is provided as a service to our members.
Once a satellite event has been approved, CAN-ACN’s Meeting Secretariat, Podium Conference Specialists, will provide the organisers with the appropriate contacts to start planning. Please note: Podium is not contracted to support the planning and organization of Satellite events.
Satellite event organizers must assume responsibility for all arrangements, including
- Meeting registration
- Payment processing / budgeting
- Ensuring all participants adhere to the code of conduct
- Additional AV rental if required
- Food and beverage orders
- Poster board rental
- Badge printout / Lanyards
- Any furniture required (registration table or other)
